Yes. All data is encrypted at rest and in transit. Every login requires email-based two-factor authentication, and devices can be trusted for up to 30 days. We use JWT-based auth with short-lived tokens (30 min access, 7-day refresh), role-based access control at every API endpoint, a SecureLogger that sanitises PII from all logs, and complete audit logging. Data is stored on Microsoft Fabric SQL with AWS cloud infrastructure.
EHR integration is available on the Enterprise plan. We support HL7 FHIR standards and can work with your IT team to establish secure data exchange with major EHR systems.
The AI Clinical Assistant is powered by Azure OpenAI (GPT-5) and provides context-aware clinical decision support. Getting Started

Set up your account and start screening patients in under five minutes.

1. Create Your Account

Register with your professional email address. System administrators can create accounts for clinicians via the admin panel, or clinicians can self-register and be approved by an admin. All accounts require email verification before activation.

2. Secure Your Login

On your first sign-in, you will be prompted to verify via email-based two-factor authentication. Enter the 6-digit code sent to your registered email. You can mark your device as trusted for up to 30 days to skip 2FA on repeat logins.

3. Register Patients

Add patients manually from your dashboard or send them an invitation link so they can self-register. Patients verify their email, set a password, and immediately gain access to the screening portal.

The Six ICOPE Domains

Each domain represents a key area of intrinsic capacity. Decline in any domain can impact a person's overall functional ability and quality of life.

Cognitive Decline

Screened using standardised memory and orientation tests. ICOPE Connect supports the Mini-Mental State Examination (MMSE) with automated scoring and longitudinal tracking. Early detection of cognitive decline enables timely intervention and support planning.

Limited Mobility

Assessed through the Short Physical Performance Battery (SPPB) and Timed Up and Go (TUG) tests. These validated instruments measure balance, gait speed, and lower extremity strength. Results flag fall risk and guide physical activity recommendations.

Malnutrition

Evaluated using the Mini Nutritional Assessment Short-Form (MNA-SF). This 6-item screening tool identifies older adults who are malnourished or at risk. ICOPE Connect tracks nutritional status over time and prompts dietary intervention when scores decline.

Hearing Loss

Screening involves standardised questions about difficulty hearing in conversation, using the telephone, or following group discussions. Flagged results prompt referral for audiometric assessment. Early intervention with hearing aids or assistive devices can significantly improve quality of life.

Visual Impairment

Screened with questions about difficulty reading, recognising faces, and navigating the environment. Patients reporting visual difficulty are flagged for ophthalmological referral. Tracking vision changes over time helps identify progressive conditions early.

Depressive Symptoms

Assessed using the Geriatric Depression Scale (GDS-15) or Patient Health Questionnaire (PHQ-9). These validated instruments detect depressive symptoms with high sensitivity. Flagged results trigger care plan recommendations including counselling referrals and activity programmes.

Secure by Default

All API requests require JWT bearer token authentication. Tokens are issued via the /auth/login endpoint with email-based 2FA verification.

RESTful Design

Standard HTTP methods (GET, POST, PUT, DELETE) with JSON request/response bodies. Consistent error handling with structured error objects.

Rate Limited

API requests are rate limited per endpoint category. AI-powered endpoints have separate rate limits to manage compute costs. Limits are returned in response headers.

Authentication

All API access uses JWT bearer tokens with short-lived access and refresh token rotation.

POST /api/auth/login

Authenticate with email and password. Returns a short-lived access token (30 min) and a refresh token (7 days). If 2FA is required, the response includes a requires_otp: true flag.

POST /api/auth/verify-otp

Submit the 6-digit OTP code sent to the user's email. On success, returns the full token pair. Optionally include trust_device: true to skip 2FA for 30 days on this device.

POST /api/auth/refresh

Exchange a valid refresh token for a new access/refresh token pair. Old refresh tokens are invalidated on use (token rotation). Returns 401 if the refresh token is expired or revoked.

Authorization Header

Include the access token in all subsequent requests: Authorization: Bearer <access_token>. Role-based access control is enforced at every endpoint.

1. Information We Collect

Account Information: When you create an account, we collect your name, email address, and professional credentials (for clinicians). Patients provide their name, email address, date of birth, and emergency contact information.

Health Information: Screening responses, assessment scores, care plan data, and longitudinal health records entered through the platform. This information is collected to provide clinical decision support and enable the ICOPE care pathway.

Usage Data: We collect anonymised usage data including pages visited, features used, and session duration to improve the platform. We do not use tracking cookies for advertising purposes.

Device Information: When you trust a device for two-factor authentication, we store a device fingerprint (browser type, operating system) to recognise your device for up to 30 days. This data is used solely for security purposes.

2. How We Use Your Information

We use your information exclusively for the following purposes:

  • Providing the ICOPE screening, assessment, and care planning services
  • Generating AI-powered clinical decision support (Professional and Enterprise plans)
  • Sending email and SMS notifications, reminders, and clinical alerts
  • Authenticating your identity and securing your account with two-factor authentication

3. Data Security

We implement comprehensive security measures to protect your data:

  • Encryption: All data is encrypted in transit (TLS 1.3) and at rest (AES-256)
  • Authentication: JWT-based authentication with 30-minute access tokens and mandatory email-based 2FA

4. Data Storage & Retention

Your data is stored on Microsoft Fabric SQL with cloud infrastructure provided by Amazon Web Services (AWS). Health records are retained for the duration of your active account and for a minimum retention period as required by applicable healthcare regulations in your jurisdiction.

Account data is retained for 90 days after account deactivation to allow for reactivation. After this period, personal data is permanently deleted unless retention is required by law. Anonymised, aggregated data may be retained indefinitely for platform improvement and research purposes.

5. AI & Third-Party Services

The AI Clinical Assistant is powered by Azure OpenAI (GPT-5). When you use AI features, relevant patient assessment data is sent to Azure OpenAI for processing. Microsoft's Azure OpenAI Service operates under enterprise data protection agreements: your data is not used to train AI models, is not accessible to other customers, and is processed in compliance with Microsoft's data processing terms.

We use AWS Simple Email Service (SES) for email notifications and AWS Simple Notification Service (SNS) for SMS notifications. These services process only the minimum data required to deliver messages (email address or phone number and message content).

6. Your Rights

You have the following rights regarding your personal data:

  • Access: Request a copy of all personal data we hold about you
  • Correction: Request correction of inaccurate or incomplete data
  • Deletion: Request deletion of your account and associated data
  • Portability: Export your data in JSON, CSV, or PDF format at any time
  • Objection: Object to specific processing activities where applicable

7. Cookies & Tracking

ICOPE Connect uses only essential cookies required for platform functionality:

  • Session cookie: Maintains your authenticated session
  • Trusted device token: Remembers 2FA-verified devices for up to 30 days
  • Preference cookies: Stores language and display preferences

We do not use advertising cookies, social media tracking pixels, or third-party analytics that track individual users. We do not sell, share, or trade personal data with third parties for marketing purposes.

8. Children's Privacy

ICOPE Connect is designed for adults aged 60 and over, and their healthcare providers and families. We do not knowingly collect personal information from children under the age of 18. If we become aware that we have collected data from a child, we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. We will notify registered users of material changes via email at least 30 days before they take effect. The "Last updated" date at the top of this page indicates when the policy was last revised.
